Safari Booking Terms & Conditions

The complete booking, payment, amendment and cancellation terms for every safari with Imara Africa Safaris. For the quick-read version of the cancellation schedule alone, see our Cancellation Policy.

At Imara Africa Safaris we’re committed to delivering seamless safari experiences across Kenya, Tanzania, Uganda, Rwanda and beyond. 01General Booking Conditions

1.1 · Eligibility

By booking a safari with Imara Africa Safaris you confirm that you are at least 18 years of age and legally authorised to enter into a binding contract.

You also confirm that all information you provide is true, accurate and complete.

1.2 · Booking on behalf of others

If booking for others, you are the designated contact person for your group. You warrant that you are authorised to act on their behalf, and you are responsible for:

  • Making all required payments.
  • Informing every traveller of these Terms & Conditions.
  • Relaying all updates, changes or cancellations to the group.

02Booking Your Safari

  • All bookings must be made through an authorised representative of Imara Africa Safaris.
  • A deposit of typically 30% of the safari cost is required at the time of booking. The exact deposit is not fixed — it can vary depending on your safari type and is agreed directly with your safari curator.
  • Your booking is confirmed only after written confirmation is issued by the Company.
  • The Company reserves the right to refuse a booking and will refund any deposit received in that event.
  • Special requests (dietary, medical, room preferences, accessibility) must be communicated at the time of booking.

03Payment Options

By default, the deposit at booking (typically around 30%, though it varies by safari type and is agreed with your curator) confirms your safari and the balance is collected on arrival in Kenya. If you’d prefer to pay earlier — in stages, by card, or in one upfront payment to lock in the quoted rate — we support that too. Pick the route that suits your bank and travel timeline:

Bank / Wire transfer

The default for larger payments. Clients cover their own bank charges; we don't add a surcharge on top.

Credit / Debit card

Visa, Mastercard and Amex accepted. A 3.5% surcharge applies — this is the bank's processing fee, not an Imara charge.

Pay on arrival

Our default. Clear the balance on arrival in Kenya — the deposit you pay at booking is what confirms your safari ahead of time.

Flexible installments

Prefer to settle up before arrival? Arrange a personal schedule — pay in stages or in full — directly with your safari consultant. No extra fees.

Imara Africa Safaris only maintains bank accounts in Kenya. Payments should only be made to the official account name provided on your booking invoice — please verify with your consultant before transferring.

04Price Policy

  • Safari pricing can change at any time and is subject to change until confirmed in writing.
  • Prices may be affected by factors beyond our control — for example, major global or regional events (such as conflict or natural disasters affecting safari destinations), sudden fuel-price increases, and unexpected government rises in park fees or taxes.
  • Once your booking is confirmed in writing, your quoted rate is held — save for the exceptional, beyond-our-control factors noted above (for example major global events, fuel-price spikes, or government-imposed park-fee and tax increases), which may still require an adjustment.
  • The Company is not obliged to provide detailed cost breakdowns; bespoke itemisations are provided on request where commercially possible.
  • All prices are quoted in US Dollars (USD) unless otherwise agreed in writing. Currency-fluctuation adjustments, park-fee changes, fuel surcharges and government-imposed taxes may apply and will be communicated before final payment is due.

05Cancellation by the Client

Standard Cancellation Policy — if you need to cancel your booking, the following sliding scale applies based on the notice period given:

  • More than 60 days before10% of package cost

    Lowest standard cancellation fee — applies to bookings cancelled with 61 or more days' notice.

  • 31–60 days before25% of package cost

    Standard mid-window fee. Some supplier deposits become non-refundable inside this window.

  • 15–30 days before50% of package cost

    Many supplier deposits are non-refundable; admin and partner penalties may also apply.

  • 14 days or less100% of package cost

    Full forfeiture. Travel insurance with cancel-for-any-reason cover is strongly recommended.

Flexible Travel Policy

Credit Option — 9-month travel credit

If you cancel 40 or more days before departure and choose not to take a refund, we offer a travel credit equal to the amount paid, valid for nine months from the date of cancellation. The credit can be applied towards any future safari with Imara Africa Safaris.

If unused within the nine-month period, the standard cancellation policy above will apply.

Note: An administrative fee may apply, and supplier cancellation penalties (such as hotel, flight or park fees) may also apply.

Certain components (international flights, park fees, hotels) may be non-refundable — these are itemised and communicated at the time of booking.

06No Show

If you fail to join the tour or cancel on the day of departure, no refund will be provided. Comprehensive travel insurance is strongly recommended.

07Changes by the Customer

  • Amendment requests

    Any request to change your booking must be made in writing and is subject to availability. An amendment fee may apply depending on the nature of the change.

  • Partial cancellation

    Should you cancel part of your booking (for example, an activity or accommodation), cancellation fees for that portion may apply.

08Cancellation by Imara Africa Safaris

Imara Africa Safaris may cancel a safari in exceptional circumstances, including but not limited to:

  • Force majeure — natural disasters, political instability, pandemics, strikes and similar events.
  • Insufficient participants on a scheduled departure.
  • Other circumstances beyond our reasonable control.

The Company is not liable for costs outside the safari package (for example, international flights or visas).

09Refund

Refunds will be processed and paid as promptly as possible. If we need to recover funds already paid to our partners for your services, your refund will be issued after those funds have been recovered.

10Changes & Amendments — by Imara Africa Safaris

  • The Company reserves the right to make necessary adjustments to itineraries when required for safety, logistics or supplier reasons.
  • If changes occur due to circumstances beyond our control (for example, weather or political events), refunds or compensation are not guaranteed.

11Travel Documents

  • Clients are responsible for ensuring they hold valid passports (with at least six months’ validity beyond travel dates), visas and vaccinations required for travel.
  • The Company is not liable for delays or additional expenses caused by incomplete travel documents, nor for refunds where entry to a country is denied.

12Travel Insurance

Recommended. Travel insurance is not mandatory, but we strongly recommend comprehensive cover for every Imara safari to protect your trip.

Ideally, your policy should cover: trip cancellation, medical expenses and emergency evacuation, personal accident, luggage loss and repatriation. We also recommend a policy that includes “cancel for any reason” coverage.

Imara Africa Safaris shall not be liable for any costs arising from inadequate or absent insurance coverage.

13Waiver & Safety

  • Some safari activities involve an element of risk. Clients may be asked to sign a Waiver of Responsibility form before starting their safari.
  • Clients are expected to exercise personal caution and follow the guidance of safari guides at all times.

Wildlife sightings cannot be guaranteed. Our guides will use their best efforts and expert knowledge to maximise your experience — nature is unpredictable, but our guiding standard is consistent.

14Dissatisfaction & Complaints

  • On the ground

    Any complaints must be reported immediately to your safari manager (via WhatsApp or email) so we can resolve them on site.

  • Formal escalation

    If not resolved on the ground, complaints must be submitted in writing within 24 hours of tour completion. The Company will investigate and respond within 24 hours of receiving the formal complaint.

15Local Purchases

  • Imara Africa Safaris is not responsible for the quality or value of personal purchases (jewellery, souvenirs, food) made locally.
  • Import duties and shipping costs for such items are solely the client’s responsibility.

How much deposit do I need to book a safari?+

When is the balance of my safari due?+

How can I pay for my safari?+

By bank/wire transfer, credit or debit card (Visa, Mastercard, Amex, with a 3.5% bank surcharge), pay on arrival in Kenya, or flexible installments arranged with your consultant. Imara only maintains bank accounts in Kenya — verify the official account name on your invoice before transferring.

Is travel insurance required to book?+

No. Travel insurance is not mandatory, but we strongly recommend comprehensive cover including trip cancellation, medical expenses and emergency evacuation, ideally with cancel-for-any-reason coverage.

Can the price change after I book?+

Prices are subject to change until confirmed in writing. After confirmation your rate is held, except for beyond-our-control factors such as major global events, fuel-price spikes, or government-imposed park-fee and tax increases, which may require an adjustment communicated before final payment.

What happens if I cancel my safari?+

A sliding scale applies based on notice: a 10% fee with 61+ days, 25% with 31–60 days, 50% with 15–30 days, and 100% within 14 days. A 9-month travel credit is available if you cancel 40+ days out. See the Refund Policy for full detail.
