Imara Africa Safaris – Booking Terms, Payment & Cancellation Policy
At Imara Africa Safaris, we are committed to delivering seamless safari experiences across Kenya, Tanzania, and beyond. We understand that travel involves planning, commitment, and sometimes unexpected changes. To help you book with confidence, please review our complete booking, payment, and cancellation terms below.
General Booking Conditions
1. Eligibility
By booking a safari with Imara Africa Safaris Limited, you confirm that you are at least 18 years of age and legally authorized to enter into a binding contract.
You also confirm that all information you provide is true, accurate, and complete.
2. Booking on Behalf of Others
If booking for others, you are considered the designated contact person for your group. You warrant that you are authorized to act on their behalf, and you are responsible for:
Making all required payments.
Informing them of these Terms & Conditions.
Relaying all updates, changes, or cancellations.
1. Booking Your Safari
All bookings must be made through an authorized representative of Imara Africa Safaris Limited.
A 30% deposit of the safari cost is required at the time of booking.
Your booking is confirmed only after written confirmation is issued by the Company.
The Company reserves the right to refuse a booking and will refund any deposit received.
Special requests (dietary, medical, room preferences, etc.) must be communicated at the time of booking.
2. Payment Options
Bank/Wire Transfer (clients must cover their bank charges).
Credit/Debit Cards (Visa, Mastercard, Amex accepted). A 3.5% surcharge applies – this is a bank charge, not a company fee.
Flexible Installments – Clients may pay gradually in advance; this must be arranged with your tour manager.
Pay on Arrival – For some safaris, clients may clear balances upon arrival in Kenya (deposit still required).
⚠️ Important: Imara Africa Safaris Limited only maintains bank accounts in Kenya. Payments should only be made to the official account name provided in your booking invoice.
3. Price Policy
Prices are subject to change until confirmed in writing.
Full upfront payment at the time of booking secures your safari at the quoted rate.
The Company is not obliged to provide detailed cost breakdowns.
4. Cancellation by the Client
Standard Cancellation Policy
More than 60 days before departure – 10% of total package cost.
31–60 days before departure – 25% of total package cost.
15–30 days before departure – 50% of total package cost.
14 days or less – 100% of total package cost.
Credit Option (Flexible Travel Policy)
- If a client cancels 40+ days before departure and chooses not to take a refund, we will offer a travel credit equal to the amount paid, valid for 9 months from the date of cancellation.
This credit can be applied towards any future safari with Imara Africa Safaris.
If unused within the 9-month period, the standard cancellation policy (above) will apply.
⚠️ Note: An administrative fee may be applied, and supplier cancellation penalties (such as hotel, flight, or park fees) may also apply.
⚠️ Please note: Certain components (flights, park fees, hotels) may be non-refundable, which will be communicated at the time of booking.
5. No Show
If you fail to join the tour or cancel on the day of departure, no refund will be provided.
6. Changes by the Customer
Amendment Requests: Any request to change your booking must be made in writing and is subject to availability. An amendment fee may apply depending on the nature of the changes.
Partial Cancellation: Should you cancel part of your booking (e.g., an activity or accommodation), cancellation fees for that portion may apply.
7. Cancellation by Imara Africa Safaris
Imara Africa Safaris may cancel a safari in exceptional circumstances, including but not limited to:
Force majeure (natural disasters, political instability, pandemics, strikes, etc.)
Insufficient participants
Other circumstances beyond our control
The Company is not liable for costs outside the safari package (e.g., international flights, visas).
8. Refund
Refunds will be processed and paid as promptly as possible. If we need to recover funds already paid to our partners for your services, your refund will be issued after those funds have been recovered. Most refunds are processed within six weeks of being requested.
9. Changes & Amendments (by Imara Africa Safaris)
The Company reserves the right to make necessary adjustments to itineraries when required.
If changes occur due to circumstances beyond our control (e.g., weather, political events), refunds or compensation are not guaranteed.
10. Travel Documents
Clients are responsible for ensuring they have valid passports, visas, and vaccinations required for travel.
The Company is not liable for delays or additional expenses caused by incomplete travel documents.
11. Waiver & Safety
Some safari activities involve elements of risk. Clients may be asked to sign a Waiver of Responsibility form before starting their safari.
Clients are expected to exercise personal caution and follow the guidance of safari guides at all times.
12. Dissatisfaction & Complaints
Any complaints must be reported immediately to your safari manager (via WhatsApp or email) for onsite resolution.
If not resolved, complaints must be submitted in writing within 24 hours of tour completion.
The Company will investigate and respond within 24 hours of receiving the formal complaint.
13. Local Purchases
Imara Africa Safaris is not responsible for the quality or value of personal purchases (e.g., jewelry, souvenirs, food) made locally.
Import duties and shipping costs for such items are solely the client’s responsibility.
